1. Acceptance of Terms

By downloading, installing, or using MailMana ("the App," "the Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, do not use the App.

MailMana is operated by Life Stack Japan ("we," "us," or "our"). These Terms constitute a binding agreement between you and Life Stack Japan.

2. Description of Service

MailMana is a subscription-based mobile application that allows users to:

Capture or upload images and PDF documents containing Japanese-language text
Automatically extract and translate document content into English using AI
Search, organize, and manage translated documents
Receive Japanese-language emails at a personal forwarding address for automatic translation

Access to the Service requires an active paid subscription as described in Section 4 (Subscriptions).

3. AI Translation — Accuracy Disclaimer

Please read this section carefully.

MailMana uses AI-powered translation (Google Gemini via Vertex AI) to convert Japanese documents into English. While we strive for accuracy, AI translation has inherent limitations:

Translations are not guaranteed to be accurate, complete, or error-free. AI models can misread characters, mistranslate nuance, or miss context-specific meaning.
Do not rely on MailMana translations for legal, financial, medical, or official purposes without independent verification. This includes but is not limited to: tax filings, legal contracts, medical instructions, government forms, and financial transactions.
Action items (payment deadlines, appointment dates, required responses) extracted by the AI are provided as a convenience only. You are responsible for verifying all deadlines, amounts, and required actions with the original document or a qualified translator.
MailMana is a translation aid, not a certified translation service.

We are not liable for any loss, financial harm, missed deadlines, or other consequences arising from reliance on AI-generated translations or extracted action items.

4. Subscriptions and Billing

4.1 Plans

MailMana is available on the following subscription plans:

4.2 Page Limit

Each plan includes a limit of 50 pages processed per calendar month. A "page" is defined as one side of a scanned document, one PDF page, or one uploaded image. Email attachments count toward this limit. The limit resets at the start of each billing cycle. We reserve the right to introduce additional tiers or adjust limits with notice.

4.3 Billing

Subscriptions are billed through the Apple App Store. Payment is charged to your Apple ID account at confirmation of purchase. Subscriptions automatically renew unless auto-renewal is turned off at least 24 hours before the end of the current period.

4.4 Cancellation

You may cancel your subscription at any time through your Apple ID account settings. Cancellation takes effect at the end of the current billing period. You will retain access to the Service until that date.

4.5 Refunds

Refund requests are handled by Apple in accordance with their refund policy. Life Stack Japan does not directly issue refunds for App Store purchases.

5. Eligibility

You must be at least 13 years of age to use MailMana. By using the App, you represent that you meet this age requirement. If you are under 18, you represent that your parent or legal guardian has reviewed and agreed to these Terms on your behalf.

6. Account Registration

To use MailMana, you must create an account with a valid email address and password.

You agree to:

Provide accurate account information
Maintain the security of your password
Notify us promptly of any unauthorised access to your account
Accept responsibility for all activity that occurs under your account

We reserve the right to suspend or terminate accounts that violate these Terms.

7. Acceptable Use

You may use MailMana only for lawful purposes and in accordance with these Terms. You agree not to:

7.1 Content Restrictions

Upload documents containing content that is illegal, defamatory, threatening, or that infringes the intellectual property rights of others
Use the App to process documents on behalf of others without their consent
Upload malicious files, executable code, or content designed to harm our systems

7.2 System Integrity

Attempt to reverse-engineer, decompile, or disassemble the App
Probe, scan, or test the vulnerability of our systems
Circumvent authentication, rate limits, or other security measures
Interfere with or disrupt the integrity or performance of the Service

7.3 Prohibited Activities

Use the App in any manner that could damage, disable, or impair the Service
Attempt to gain unauthorised access to other users' accounts or data
Use automated means (bots, scrapers) to interact with the Service
Resell or sublicense access to the Service

8. Document Content and Intellectual Property

8.1 Your Content

You retain all ownership rights to documents you upload or create using MailMana. By uploading content, you grant Life Stack Japan a limited licence to process that content solely for the purpose of providing the Service to you.

8.2 Our Service

Life Stack Japan owns all rights to the MailMana application, including its code, design, trademarks, and infrastructure. Nothing in these Terms transfers ownership of the Service to you.

8.3 No AI Training

We do not use your document content to train AI models. Your content is processed transiently for translation and stored only in your account.

9. Email Forwarding Feature

If you use the email forwarding feature:

You are assigned a unique forwarding address. This address is for your personal use only.
Do not share your forwarding address publicly or use it to receive spam or bulk mail.
We are not responsible for the content of emails forwarded through the Service.
The email forwarding feature relies on third-party email delivery infrastructure. Availability may be subject to that provider's service terms.
We reserve the right to suspend forwarding addresses that are abused or generate excessive load.

10. Service Availability and Modifications

10.1 Availability

We aim to provide a reliable service but do not guarantee uninterrupted availability. The Service may be temporarily unavailable due to maintenance, updates, third-party service outages, or events outside our control.

10.2 Modifications

We reserve the right to modify, suspend, or discontinue the Service (or any feature) at any time, with or without notice. We will make reasonable efforts to notify users of significant changes that affect existing functionality.

10.3 Third-Party Dependencies

MailMana relies on third-party infrastructure providers for AI processing, storage, email delivery, and other functions. Changes to or outages of these services may affect MailMana's functionality without notice.

11. Limitation of Liability

To the maximum extent permitted by applicable law:

Life Stack Japan is not liable for any indirect, incidental, special, consequential, or punitive damages, including loss of data, loss of income, or financial loss, arising out of your use of or inability to use the Service.
Our total liability for any claim related to the Service is limited to the amount you paid for the Service in the twelve months preceding the claim.
We are not liable for the accuracy of AI translations, OCR extraction, or action item detection.
We are not liable for any damages arising from third-party infrastructure or service failures.

Nothing in these Terms limits liability for death, personal injury caused by our negligence, or fraud.

12. Disclaimer of Warranties

The Service is provided "as is" and "as available" without warranties of any kind, either express or implied, including but not limited to:

Implied warranties of merchantability or fitness for a particular purpose
That the Service will be uninterrupted, error-free, or secure
That translations will be accurate, complete, or reliable
That the Service will meet your specific requirements

13. Account Termination

13.1 By You

You may delete your account at any time from the Settings screen in the App. Upon deletion, all your data (documents, translations, account information) is permanently erased. This action is irreversible. Deleting your account does not automatically cancel your App Store subscription — you must cancel it separately through your Apple ID settings.

13.2 By Us

We reserve the right to suspend or terminate your account, with or without notice, if you:

Violate these Terms
Engage in fraudulent, abusive, or illegal activity
Provide false account information
Take actions that harm our systems or other users

Upon termination by us for cause, your right to use the Service ceases immediately. We may delete your data following termination.

13.3 Effect of Termination

Upon any account termination, your licence to use the App is revoked. Sections 3 (AI Disclaimer), 8 (Intellectual Property), 11 (Limitation of Liability), 12 (Disclaimer of Warranties), 15 (Governing Law), and 16 (Dispute Resolution) survive termination.

14. Privacy

Your use of the App is governed by our Privacy Policy. By using the App, you consent to the data practices described therein, including cross-border data transfers to service providers as outlined.

15. Governing Law

These Terms are governed by and construed in accordance with the laws of Japan. Any disputes arising under these Terms will be subject to the exclusive jurisdiction of the Tokyo District Court, unless otherwise required by applicable consumer protection law.

16. Dispute Resolution

We encourage you to contact us first at legal@mailmana.app to resolve any dispute informally. If we cannot resolve the matter within 30 days, either party may pursue formal legal remedies.

17. Changes to These Terms

We may update these Terms from time to time. When we do, we will update the "Last updated" date above and notify you through the App for material changes. Continued use of the App after updated Terms take effect constitutes acceptance of the revised Terms.

18. Severability

If any provision of these Terms is found to be unenforceable, the remaining provisions will continue in full force and effect.
